AI, done responsibly

You’re already using AI. Get more from it, with less risk.

Most organizations aren’t deciding whether to use AI. Their people already do, with or without a policy. We help you use it with confidence: clear rules, the right permissions and controls on your data first, then the right tools, practical training and automation that give people real time back. No AI tool is risk-free, so our job is to reduce the risk and make the benefits real.

Who it’s for

For leadership teams whose people are already using AI.

The question isn’t whether to use AI anymore. It’s whether it’s being used responsibly, and whether it’s actually saving anyone time.

  • Staff are already pasting work into free AI tools, and nobody knows what’s been shared.
  • You’re considering Microsoft 365 Copilot and want to know what it will surface before you switch it on.
  • A client, insurer or auditor has asked what your AI policy is.
  • You handle client files, patient records or research data that can’t end up in a public AI tool.
  • You’re paying for AI licenses and can’t tell whether they’re saving anyone time.
  • Leadership wants a straight answer on where AI actually helps, not a vendor pitch.

What’s included

Guardrails first, then results.

AI usage discovery

Find out which AI tools and browser extensions are already in use across your organization, and what data they can reach.

Acceptable-use policy

A plain-English policy covering approved tools, what data can and can’t go into them, and who approves new ones. Written for how you actually work.

Copilot readiness

Copilot shows people whatever they can already open. We audit SharePoint, OneDrive and Teams permissions, fix oversharing, and apply sensitivity labels before anyone turns it on.

Right-sized licensing

Start with the people who will use it, measure what’s useful, then expand. Licenses get added when there’s a reason, and dropped when there isn’t.

Staff training

Short, practical sessions on getting good results from approved tools, and on the new phishing and impersonation tricks that AI makes easier.

Tool selection

Straight advice on which AI tools fit your work and your compliance obligations, and which ones to avoid.

Practical automation

Take repetitive work off people’s plates with tools you already pay for, such as Microsoft 365 and Power Automate, before buying anything new.

Data protection controls

Data loss prevention, conditional access and logging, so sensitive information stays where it belongs, AI or not.

How it works

Discover, secure, streamline, review.

  1. Weeks 1–2

    Discover

Inventory the AI tools already in use, what data they can reach, and how your files are shared today.

  2. Weeks 2–5

    Secure

Agree an acceptable-use policy with leadership, fix permissions, and apply labels and data-loss controls.

  3. Weeks 5–8

    Streamline

Set up the approved tools, train your team, and automate the first repetitive tasks worth taking off people’s plates.

  4. Ongoing

    Review

A look at what’s actually saving time, what’s changed, and what to adjust, at each quarterly review.

What you can expect

What you can expect.

  • A clear picture of how AI is being used across your organization today.
  • A written AI policy you can hand to a client, auditor or insurer.
  • Copilot switched on only after your data is ready for it.
  • Staff who know which tools are approved and how to get good results from them.
  • AI licenses that are earning their keep, and fewer that aren’t.
  • AI decisions made as part of your technology roadmap, not in isolation.

Questions

What leaders ask us.

Should we turn on Microsoft Copilot?

Probably, once your permissions are in order. Copilot can find and summarize anything a user already has access to, including files nobody remembers sharing. We clean that up first, start with the people who will get the most from it, and expand once it’s clearly saving time.

Our staff already use ChatGPT. Is that a problem?

It depends on what they’re putting into it. Free consumer AI tools may use what’s typed in to improve their models, and nothing is logged on your side. The fix is usually a short policy, an approved business-grade alternative, and a little training, not a ban.

Can you help us answer AI questions from clients or insurers?

Yes. We write acceptable-use policies for AI tools and help you answer the AI questions that clients, auditors and cyber insurers are now adding to their questionnaires.

Is this included in managed IT?

Governance is. The acceptable-use policy and the Copilot permissions audit are part of every fully managed plan’s security baseline. The full program, from discovery through training and automation, is scoped and quoted as an add-on.

How is the program priced?

A fixed fee for the engagement, by the size of your organization, quoted in writing before anything starts. Ongoing governance, with the permissions audit rerun every quarter and the policy kept current, is a monthly line you can add or drop. See how pricing works.
